FAQs

Still have questions?

What is the Digital Facilities Manual (DFM) Live Asset Information Model?

We created the Digital Facilities Manual (DFM) Live to give building owners a single resource for all operation and maintenance information, including the information originally handed over at the end of construction, together with any updates, service records, maintenance dockets, etc., uploaded during the life of the building. DFM Live allows external maintenance contractors access to the O&M Manuals for the equipment that they are maintaining and allows the building owner view and store completed maintenance records uploaded by the maintenance contractor. When a building owner decides to maintain the Safety File online under a Hosting contract, the owner can also upgrade to DFM-Live to manage the PPM (Planned Preventative Maintenance) work orders

How does the Asset Register work?

The Asset Register stores all asset data in a structured, searchable format. It links each asset to relevant documents, model elements and maintenance information, ensuring teams always have accurate, up‑to‑date details at their fingertips.

Can the system manage Health & Safety Files?

Yes. Zutec provides a fully digital, compliant Health & Safety File that stores certificates, risk assessments, safety documentation and audit trails. This ensures easy access for all stakeholders and supports regulatory compliance.

How does BIM integration enhance asset information?

Zutec connects BIM models directly to asset data, allowing users to click on model elements to view associated O&M manuals, warranties, specifications and documents. This visual context makes it easier to understand building components and their requirements.

Who can access the Digital Facilities Manual Live Asset Information Model?

Access is permission‑controlled, allowing project teams, contractors and facility managers to view or update information based on their role. This keeps data secure while enabling effective collaboration.

Can information be updated after handover?

Yes. The model is designed for continuous updates, allowing you to add new assets, documents, certificates and maintenance records throughout the building’s lifecycle.

How does this improve handover quality?

By centralising all asset and safety information, validating data and linking it to BIM, Zutec ensures a complete, accurate and structured handover package that reduces rework and supports long‑term building management.

Is the system easy to use on‑site?

Yes. With a tablet or laptop, users can access asset data, model views and documentation directly in the field, improving accuracy and speeding up decision‑making.
