Q: What challenges were you facing before exploring software solutions like Zutec?
A: Before considering software solutions for quality and compliance, we faced significant challenges related to evolving building regulations, particularly the uplift in the Part L standard.
These changes required mandatory digital compliance with stricter standards, such as having time and geo-stamped photographic evidence for inspections.
We explored various options, including developing an in-house app using Logic Apps, but after discussions with Zutec, who had a tried and tested solution, it became clear they could deliver exactly what we needed with ease and within tight deadlines.
Q: What would have been the consequences of not addressing these challenges?
A: Non-compliance with Part L regulations would have been a serious problem for the business. We wouldn’t have been able to secure Completion Certificates for our plots, leading to a fundamental failure for our operations. Compliance wasn’t optional — it was essential.
Additionally, we wanted more than just a solution for Part L. We sought a long-term partner to support our broader digital transformation goals, enabling us to adopt technology more rapidly and efficiently to support our broader quality processes.
Q: How has Zutec helped transform your processes?
A: Implementing Zutec has been transformative. Initially, it helped us achieve compliance with Part L photographic evidence, but we’ve since extended its use to digitise our quality control processes.
For example, site managers no longer need to complete 50-page handwritten plot books for each plot. Instead, the team uses Zutec’s field app to perform quality inspections, take photographs, and log data digitally, making data capture faster and far easier. This system has been rolled out across six regions and 60 active sites, saving time and reducing errors.
We’ve also gained access to invaluable data, which allows us to run analytics using dashboards. This visibility helps identify inefficiencies, such as consistent issues with specific subcontractors onsite whose work doesn’t meet expectations. As a result, we can keep track of issues raised and resolve challenges more effectively.
Q: Did the implementation process meet your expectations?
A: Yes, and it exceeded them in some areas. One key lesson was the importance of education alongside training. Adoption isn’t just about learning how to use software; it’s about understanding why it’s crucial, especially in areas of compliance with regulations and how non-compliance could impact the business.
We also discovered the importance of ongoing support post-implementation. Depending on the project’s scale, we provide continuous support for three to six months to ensure the site teams are confident and competent with using Zutec.
Q: Aside from compliance, have you experienced other returns on investment (ROI)?
A: The compliance aspect was our primary focus, but the system’s broader benefits are becoming evident. For instance, site teams now spend less time on paperwork and more time on inspections because our digital forms are pre-populated in the Zutec app, and data and evidence are easier to capture. Contract managers can also monitor site progress remotely, reducing travel between sites.
Additionally, having a digitised system allows us to capture and analyse data, which can be used to aid better decision-making and identification of recurring issues.
Q: How has Zutec improved processes like EPC reports?
A: The Zutec platform has streamlined workflows. Site managers use mobile devices to capture data in real time, which syncs to the cloud. Workflows can be used to notify both internal and external assessors when evidence, documentation or inspections are ready to review.
External assessors can then access the platform remotely to generate reports, approve evidence, and participate in workflows to notify teams of outcomes. This seamless integration has significantly reduced administrative burdens.
Q: What’s next for digital transformation at Gleeson Homes?
A: We’re excited about the potential of artificial intelligence (AI). Zutec is already exploring AI-driven tools, such as chatbots, which could provide instant support to site teams.
We also see potential in AI for quality assurance processes. Imagine uploading a photograph of a build detail and having AI assess whether it meets acceptance criteria. AI could revolutionise how we handle inspections and ensure compliance.
